General privacy policy for Matatoa

1. Scope

This policy applies to the Matatoa website, including public pages, contact forms and communications related to business inquiries, demos, diagnostics or requests for information. It also applies when a Matatoa application, workflow or integration connects to Google services or Google Cloud APIs on behalf of a user or customer.

2. Data we may receive

• Name, company, email address and phone number if the user shares them.
• Message content or details about the process the user wants to automate.
• Basic technical data needed to operate the site securely, such as browser information or access logs when applicable.
• When a user authorizes a Google integration, the specific Google user data permitted by the granted scope, such as profile details, email address, calendar data, Gmail metadata or content, Drive file metadata, or other Google Workspace data strictly required for the enabled feature.

3. How information may be used

• Respond to inquiries, coordinate meetings or prepare proposals.
• Follow up on business or technical conversations requested by the user.
• Improve the clarity, security and operation of the site and contact channels.
• Comply with applicable legal obligations or legitimate requests.
• For Google user data, provide or improve user-facing features explicitly requested by the user, such as reading, processing, syncing, organizing, sending or displaying data within an authorized Matatoa workflow or integration.

4. Google user data disclosures

If a Matatoa application or integration uses Google APIs, Matatoa only accesses Google user data after the user or customer grants permission. Matatoa does not sell Google user data and does not use Google user data for targeted advertising, creating advertising profiles, sale to data brokers, credit-worthiness, lending decisions, or training generalized artificial intelligence or machine learning models.

Google user data is used only to provide or improve the specific user-facing functionality requested by the user or customer and described in the relevant Matatoa workflow, application or integration.

5. Sharing and disclosure

Matatoa does not sell personal data. Information may be shared only with service providers, subprocessors or platforms that support website operations, communications, hosting, security, analytics with appropriate safeguards, or contracted services, and only where reasonably necessary for those purposes.

Google user data is not transferred, shared or disclosed to third parties except: (a) as necessary to provide or improve the user-facing feature requested by the user, (b) to service providers acting on Matatoa's behalf under confidentiality and security obligations, (c) when required by law, or (d) with the user's explicit direction or consent.

6. Retention and deletion

Matatoa processes information voluntarily submitted by the user in order to manage the request and maintain related communications. Data is retained only for as long as reasonably necessary to respond, support business or operational follow-up, provide contracted services, and comply with applicable legal obligations.

When Google user data is no longer needed for the authorized purpose, Matatoa will delete it or anonymize it within a reasonable period, unless a longer retention period is required by law or necessary to establish, exercise or defend legal claims. Users may also request deletion of shared data through the contact channels listed below.

7. Security

Reasonable technical and operational measures are used to reduce unauthorized access, improper disclosure or unintended use of information. These measures may include access controls, least-privilege permissions, authentication controls, encryption in transit where applicable, secure hosting practices, and internal efforts to minimize the data collected and retained.

8. Changes to this policy

Matatoa may update this policy from time to time to reflect operational, legal or product changes. The current version will remain published on this page with its effective date. If Matatoa materially changes how Google user data is accessed, used, stored or shared, the policy and related notices will be updated accordingly.
